About The Role

This role is ideal for someone who enjoys a variety of administrative duties where you will bring to the company a professional and positive manner, ensuring our clients continue to choose Richard Jay as their preferred supplier., Working closely with our customer Care Support Team, you will help deliver outstanding service both internally and externally.

 

Success in this role requires strong attention to detail, accuracy, and a calm, professional approach, along with the initiative to seek guidance when needed.

 

Key Responsibilities

  • Provide regular updates and maintain clear communication with customers and service co-ordinators
  • Manage and maintain service and client data within internal systems, including reporting
  • Coordinate effectively between service technicians, administration staff, contractors and customers
  • Monitor and manage the service email inbox, ensuring all enquiries are actioned or appropriately forwarded
  • Code invoices and liaise with contractors, customer's, and internal teams to ensure accuracy before submission
  • Handle customer queries relating to service invoices and resolve issues directly where possible
  • Provide details to accounts where applicable

Additional Responsibilities

  • Assist with warranty claims in collaboration with the Service Team
  • Gain experience assisting with Preventative Maintenance Agreements
  • Develop skills to act and provide back up support in the Service Coordinator role as needed, including:
    • Handling customer enquiries
    • Logging and scheduling service jobs
    • Coordinating technicians and contractors
    • Managing job updates, stock transfers, orders, and invoicing
  • Participate in stocktakes, meetings, and company events as required
  • Undertake additional administrative duties as directed
